Communication:

  • Prepare; notices, the agenda, annual budget, special resolutions, proxies, voting cards, registration forms as well as other notice and filing requirements as specified by the “Strata Property Act”
  • Attend any bylaw or special resolution registration, take and distribute minutes, attend, assist with the verification of proxies and conduct of meetings.
  • Prepare and distribute the agenda to council members prior to the council meeting. All council members are encouraged to provide the managing agent with agenda items so they can be included on the final agenda that is distributed. Agendas will be presented in accordance with the council directives.
  • Attend strata council and provide minutes within 7 days to a council member for review and approval prior to distribution to all owners. Minutes are detailed and written in accordance with the council directive for their records.
  • Respond to all owner correspondence within 7 days of the council meeting from which the decisions are made. Any correspondence not requiring a council decision shall be addressed immediately by the management company.
  • Respond to all emergencies as they arise. Maintain a 24-hour (emergency) answering service and arrange for required repairs and maintenance.

Management:

  • Provide all new owners with a welcome package containing current strata information, bylaws, and a current list of the corporation owners’ contact details.
  • Carry out all instructions from council with regards to the day-to-day operation of the strata corporation business.
  • Provide quotes for services and supplies to the strata council for their decision and to contract selected services as necessary.
  • Consult with and assist the strata council in the performance of any of the strata councils’ duties including mailing correspondence.
  • Ensure that equipment owned by the strata corporation and other facilities of the corporation are periodically inspected, maintained, repaired and generally kept in compliance with the requirements of the strata corporation.
  • Act on behalf of strata council with any government institutions having jurisdiction over the buildings or in respect to owner relations.
  • Register, prepare and file all returns with the Workers Compensation Board.

Financial Management:

  • Keep proper accounting records of all income and expenditures of the strata corporation.
  • Collect maintenance fees and disburse funds for services or products provided to the corporation.
  • Receive all invoices for common expenses and pay them in a timely basis with council approval.
  • Provide monthly financial statements to council showing assets, liabilities, and capital of the strata corporation as well as list of accounts payable and receivable, and a year-to-date budget comparison.
  • Perform all necessary banking transactions as required. All account details and transactions will be in accordance to the strata council’s direction.
  • Prepare a detailed depreciation report for the strata corporation buildings and assets that allows for sufficient contributions to the contingency reserve fund in the long term.
  • Complete accounting for strata corporation employees; calculate and make source deductions, complete T4 forms and other matters in accordance with any regulatory body.

Assisting Strata Councils:

  • Advise on “Strata Property Act” regulations and ensure all corporation business is undertaken in accordance to the statutes and guidelines within the act.
  • Prepare and file all necessary forms that may be required as per the “Strata Property Act”.
  • Ensure that newly elected council members are briefed on the “Strata Property Act” and are aware of their duties as council members.
  • Available to the strata council for discussion on any issues of concern and advise on legal issues, with the assistance of legal counsel if necessary.
  • Review the strata corporation insurance policy and make recommendations, where necessary.
